Studio rental management software, free for studio owners
Free studio rental management software: a public page, a calendar with holds per space, and enquiries from producers you answer in one tap. Florida first.
CreativeBase gives rental studios free studio rental management software: a public page for your spaces and rates, a calendar with bookings and holds per space, and enquiries from the producers who plan their shoots on CreativeBase. List at app.creativebase.ai/studios, or claim the listing a producer may already have asked about.
In short: A free studio account gets you a public page, a calendar that keeps holds straight per space, and a Requests inbox you answer with Reply, Hold, Book or Decline. CreativeBase never takes the booking or the payment, so there is no commission. Florida first.
Your job: fill the room without double-booking it
You run a cyc, two sets and a green room. Thursday has two producers who both think they have a hold, a DM asking "rates?" for the fourth time this week, and a shared Google Calendar someone renamed "STUDIO FINAL v2".
None of that is the work. The work is a good room, rented often, to people who come back. CreativeBase is production management software that production companies use to run their shoots, and the studio side exists so those producers can find your space, and so you have a better system than a calendar, a DM inbox and a notebook of who has Friday.

Your week in CreativeBase
Monday: the page does the first reply
Your page lives at an address like app.creativebase.ai/s/your-studio. It is the link for your Instagram bio and the one you send when someone asks "do you have photos and rates?"
Each space shows its rate tiers (weekday and weekend, after-hours, events, discounts), add-ons and equipment, policies and floor plans. Until you upload your own photos, the page shows Google place photos of your studio, and a logo read from your website.
Tuesday: an enquiry arrives
A producer planning a lookbook opens your page from Discover, inside their Directory, and sends an enquiry. It lands in Requests and in your email. You answer with one of four actions:
- Reply. Write back to the producer.
- Hold. Pencil the dates in your calendar while they confirm.
- Book. Mark the dates booked.
- Decline. Close the request.
The producer can also save your studio to their Places, so it is there for the next job.
Wednesday: the calendar stays straight
One calendar, split by space. Each day is booked, on hold or blocked. A hold is what goes wrong most often in a studio run on messages: two producers think they have Thursday, and one finds out the night before. Holds sit next to bookings, per space, so you see at a glance what is firm and what is pencilled.
Blocked days cover the rest: maintenance, a private event, a day off.
Thursday: run it from your phone
The portal at app.creativebase.ai/my-studio works on a phone, because most studio managers run the day from one between load-in and lunch. Today shows what is on, Calendar and Requests are a tap away, and Listing, Rates and Booking settings let you change your page without waiting on anyone.
Before and with CreativeBase
| What you need to do | Before | With CreativeBase |
|---|---|---|
| Send photos, rates and floor plans | Same DM, fourth time this week | One studio page link |
| Keep holds straight per space | Shared calendar, if updated | Booked, hold and blocked per space |
| Answer an enquiry | Somewhere in email or DMs | Requests: Reply, Hold, Book or Decline |
| Get found by producers | Word of mouth | Discover, inside producers' Directory |
| Take a card payment | Your own payment link | Linked from your page, never through CreativeBase |
Claim your listing or list from scratch
There are two ways in:
- You have a claim link. CreativeBase emailed it because a producer enquired about your studio. Open it, create your free studio account, and the listing is yours.
- You have no link. Go to app.creativebase.ai/studios, enter your studio's details and create a free studio account. You finish the page in the portal.
Every listing waits for review by the CreativeBase team before it goes live. It keeps the directory to real spaces producers can actually book.
What CreativeBase does not do for studios
Plainly, so there are no surprises:
- It does not take bookings. A producer cannot book a slot on their own. They enquire, you decide, and you mark the booking in your calendar.
- It does not take payments. CreativeBase never moves money between producers and studios. If you want card payments, add your own payment link to "Book now".
- No prop house account yet. Producers can save a prop house as a vendor or a place.
- Florida first. The directory starts in Florida, where we are building it with studios and producers directly.
Who it is for
- Photo and video rental studios with one or several stages or sets.
- Cyc walls, white studios and daylight lofts rented by the hour or the day.
- Event and multi-use spaces that also host shoots.
Where this is going
CreativeBase is becoming the base for the creative industry: production companies, crews and studios organized and connected in one network. Today the production side runs whole companies, and the studio side covers your page, calendar, holds and requests. Bookings and payments between members are not built yet.
A studio with its calendar, rates and requests in one place answers faster, double-books less and looks more professional to the producers who come back. From talent to leverage, whichever side of the production you are on.
If you run a space producers shoot in, list it free. If you are a producer looking for one, read how to produce a photo shoot or see CreativeBase for production companies.
Questions people ask
How much does it cost to list a studio on CreativeBase?
Nothing. A rental studio account is free. CreativeBase does not take bookings or payments, so there is no commission.
Does CreativeBase take bookings or payments for my studio?
No. Producers send an enquiry, and you reply, hold the dates, book or decline from your portal. You agree the booking and take payment the way you already do, including through your own payment link if you add one.
How do I claim my studio's listing on CreativeBase?
If a producer enquired about your studio before you joined, CreativeBase emails you a claim link. Open it, create your free studio account and the listing is yours. Without a link, list your studio at app.creativebase.ai/studios.
Can I manage my studio from my phone?
Yes. The studio owner portal works on a phone: today's bookings, the calendar per space, and requests you reply to, hold, book or decline.
Can a prop house list on CreativeBase?
There is no prop house account yet. Producers can save a prop house in their Directory as a vendor or a place.
Where is CreativeBase's studio directory available?
It starts in Florida, where we are building it with studios and producers directly. Do not expect national coverage yet.
