Photography Quote Template: Creative Fee, Usage, Expenses
Free photography quote template that prices the creative fee, usage and licensing, and production expenses apart, with usage terms and a sample estimate.
This free photography quote template prices three things apart: the creative fee, the usage and licensing fee, and production expenses. Below is a filled-in photo shoot estimate for a fictional product and lifestyle shoot, then how usage terms work and how to price them.
In short:
- Creative fee pays for the shoot. Usage pays for where, how long and where in the world the images run.
- Write every usage grant as media, duration, territory and exclusivity, each with its own fee.
- Ask for 50% on approval, and start the license only when the final invoice is paid.
Numbers are illustrative for a mid-market US commercial shoot as of October 2026. Replace them with yours.
Why usage gets its own line
Most photographers who shoot for brands follow the model in the ASMP licensing guide: a fee for the work and a separate fee for the use. In one worked example, a photographer splits his fee so he can negotiate shoot time and usage separately (ASMP licensing guide). ASMP's sample terms also make every use conditional on payment in full (ASMP terms and conditions example).
Splitting them means the client sees what they pay for reach, a billboard next year is a new grant rather than a renegotiation, and narrow usage gets a fair price without you cutting your day rate.

Usage terms, explained
Every grant answers four questions. Write all four on the quote in plain words.
| Question | What to write | Note |
|---|---|---|
| Media | Website, e-commerce, organic social, paid social, email, print ads, out of home, in-store, packaging, PR, broadcast | "Digital" is too vague. Paid placements cost more than owned channels; packaging and out of home usually cost most. |
| Duration | 1 to 5 years is normal | Brands refresh their look every few years (Fstoppers). "In perpetuity" should cost much more. |
| Territory | United States, North America, a list of countries, or worldwide | Organic web is visible everywhere, so many photographers license it worldwide and limit paid and print. |
| Exclusivity | Non-exclusive or exclusive, and for which industry | Exclusive means you give up future licensing income, so it has a price. |
If the quote says nothing, ASMP's sample terms default to one year, English-language use, United States only. Do not rely on that. Write it.
How to price the usage fee
- Start from the client's media spend when you can. Fstoppers describes a sliding scale: around 1% of a large media buy, rising toward 15% on a very small one.
- One line per grant. Owned channels cost less than paid placements. No blended number.
- Match talent usage to yours. If the model is licensed for one year of paid social, your images cannot run in print without a new model fee too.
- Quote the renewal now. A second-year price on the first quote turns a later negotiation into a yes.
- Ask what they actually plan. "Where will these run in the first six months?" beats "what usage do you need?"
How to fill in the estimate
- Write the deliverables first: hero count, e-commerce count, crops, rounds.
- Set the creative fee for the shoot and prep.
- Add one usage line per grant, then the matching model usage.
- Price expenses as quantity × rate, with retouching per image.
- Add a contingency on expenses, billed only if used.
- Set the deposit, the balance and a valid-until date.
What every photography quote needs
- An estimate number and a valid-until date
- Deliverables with image counts and crops
- Creative fee on its own line
- Each usage grant with media, duration, territory and exclusivity
- Model usage that matches your usage
- Retouching priced per image
- Deposit and balance with due dates
- License tied to payment in full
Common mistakes
- One number for everything, so the client assumes unlimited use
- Usage that does not match the talent release, so nobody can run the ad
- "Retouched images" with no count, which is an open tab
- No start date for the license
- Forgetting crops: three ratios per hero is three times the retouch review

Make it in CreativeBase
A usage grant written down with its end date is a renewal you can sell later. That only works if the quote lives with the shoot, the selects and the invoice, in one system rather than an old PDF.
- Photo is its own kind of production. New production asks photo jobs for deliverables and usage.
- The budget. The APA-style photo template starts with a creative fee and a usage section, then crew, talent, studio, equipment, props, post and production. Or import your own spreadsheet.
- The quote carries usage apart. Each grant is its own line with media, duration and territory, and its own fee. Production fee and contingency (10% by default) have their own percentages.
- Approval. Send by email or WhatsApp, or put it in the client portal. The client approves on a link with no account, and an extra look or grant later goes out as a change order they approve first.
- After the shoot. A selects gallery with a pick allowance, a retouch board, and the invoice from the same numbers.
Honest limits: no e-signature, exclusivity goes in the grant wording rather than its own field, no sales tax line, and clients do not pay through CreativeBase. Accounts start with a short call where pricing is set, and your first production can be a free trial.
Questions people ask
What is the difference between a creative fee and a usage fee?
The creative fee pays for the photographer's time, skill and vision on the shoot. The usage or licensing fee pays for the client's right to use the images in named media, for a set time, in a set territory. Quoting them apart lets the client buy more usage later without reopening the shoot fee.
How is a photography usage fee calculated?
It scales with how widely the images will be seen: which media, how long and where. One method, described by Fstoppers, prices the license as a percentage of the client's media spend, with the percentage falling as the spend grows.
What usage is included if the quote does not say?
ASMP's sample terms say that unless stated otherwise, a license lasts one year from the invoice date and covers English-language use in the United States only. Write the usage out on every quote so nobody relies on a default.
Is a photo shoot estimate different from a quote?
Photographers often call the pre-award price an estimate, because expenses can move. Treat it like a quote anyway: number it, date it, and say how long it is valid.
Should a photo quote include a deposit?
Yes. 50% on approval is common for commercial shoots, with the balance due on delivery of final files. Usage rights should start only once the invoice is paid in full.
